New agile Activities!

Have you ever wanted to view a company record in contact management and see all activity with that account? Or open a project container and quickly view all tasks that have been completed for a given project? The new “Activities” tab is here to help you better manage these daily agile tasks and events. In conjunction with the Activities tab we are also introducing agile Calendar, agile Tasks, and improvements to the Notes tab.

What is an Activity?

An Activity is a Task or Event associated to a project, order, quote, company record in Contact Management, invoice, RFWD, RFD, or drawing request. A Task is defined as a “to do” type item with a due date. An Event is any activity with a start time and an end time such as a meeting.

Where can I see a consolidated list of all my Activities?

The agile Calendar located under the Home tab provides a view into an individual’s Bids, Tasks, and Events. This information can be displayed in Day, Work Week, Week, Month, and Agenda views. The Bid Board application will remain unchanged. We are simply offering an additional view into a user’s assigned Bids by including them on the agile Calendar.

From the agile Calendar clicking on a Task or Event will launch its form, providing you with more detailed information. To open the document this activity belongs to click on the “link” icon. Clicking on a Bid will launch you into its corresponding project container.

If you need to change the date/time a Task or Event is occurring you can drag and drop it elsewhere on the Calendar and the date/time will automatically be adjusted. Bid times can only be adjusted from within the project container or bid board.

What happened to the Follow-Up application and my existing Follow Ups?

The Follow-Up application has become the new Tasks application and is located under the Home menu. The Tasks application offers a grid view of all Tasks for a given user. It is particularly useful when you need to see all of your past due or all future tasks. Click the hyper linked subject to launch the Task form or click the hyper link document number to launch the application the Task was entered from.

All existing Follow-Ups Notes with a follow up date set in the future have been migrated over to “Tasks” and will be visible on the Tasks grid. Existing Follow-Up Notes with a follow up date that has passed will still be visible on the Notes tab of the document it belongs to.

What improvements have occurred with Notes?

We have added an “Additional Information” section that allows you to enter text with some formatting options like you would on a Word document. It is one continuous note that can be added to at any time. Click in the Additional Information box to launch the text editor.

We have also removed the ability to flag a note for Follow-Up as this functionality now exists on the Activities tab as a Task with an email reminder. The critical note functionality will remain un-changed.

We will offer 30 minute training sessions twice a day Monday through Thursday during the week of April 13th.     1. If you are only seeing a small blue bar and the new Activities tab is not loading then there is an Internet Explorer (IE) compatibility setting that you will need to remove. Please contact the Frontline support group or open a ticket and we can walk you through changing your settings.

  1. The loss of “past due” follow-up notes visible in a single location is a big problem. I understand that that the comments are still available in the project container but we used the follow-up tab as a consolidation point for all project information and quick view for any individual salesman of all projects they are tracking. We need to recapture this data in a single point.

    1. The old “Follow Up” application has been renamed “Tasks”. You can use the “Tasks” application to quickly see all Past Due items and launch to the related documents.

  2. There is no longer a date associated with notes. As we add notes during the life of a project, some notes will supersede others. Will the date feature return?

  3. In the Notes Tab the e-mail you used last was the default e-mail for the next time you entered a note. It doesn’t appear that is the case with the Activities tab. This was a was a nice feature and would be good to still have.
